AI policy for journals published by EMS Press

This policy statement outlines the use of artificial intelligence (AI) for journals published by EMS Press.

Responsible use of artificial intelligence (AI) is permitted throughout the publishing process as a supportive tool. AI may assist with research, drafting, editing, language polishing, and also editorial or production workflows under strict confidentiality requirements. It must not replace human intellectual judgment, creative or scholarly contribution, critical assessment, editorial independence, or ethical responsibility.

Authors, editorial board members, reviewers, and the publisher remain fully accountable for the work they produce, assess, or publish.

Authors

Authors must ensure that any AI-assisted work meets scholarly and ethical standards and remain accountable for the originality, correctness, rights clearance, and integrity of their submissions. Any AI-generated output must be carefully reviewed, verified, and, where appropriate, corrected by the authors. Only human contributors can be listed as authors.

Authors are required to disclose and declare any use of AI tools in the preparation of submitted works during the submission process as well as in the submitted work itself. Such disclosure should clearly identify, where relevant, the AI tool used and the purpose for which it was used.

Authors are responsible for properly attributing all sources used in submitted works. They must also warrant that they hold the necessary rights to the submitted work and must identify any third-party or licensed material, including permissions or licence information where required.

The publisher reserves the right to take appropriate action in cases of non-compliance with this policy, including failure to disclose the use of AI.

Editorial board members and reviewers

Independent editorial judgment by editorial board members and independent critical assessment by reviewers must be preserved. All submitted materials must be treated as strictly confidential. Manuscripts, review reports, editorial correspondence, or other confidential materials must not be uploaded, processed, or otherwise disclosed to an AI system, nor shared with any unauthorised third party, unless legally binding guarantees for confidentiality, data protection, and intellectual property are in place.

Editorial board members and reviewers are required to disclose and declare any use of AI tools in the evaluation of submitted works in their decisions and reports, respectively. Such disclosure should clearly identify, where relevant, the AI tool used and the purpose for which it was used.

The publisher reserves the right to take appropriate action in cases of non-compliance with this policy, including failure to disclose the use of AI.

Publisher

The publisher ensures that AI-supported systems are used in a manner consistent with academic integrity, editorial independence, legal and data protection requirements, confidentiality, and intellectual property rights. Where the publisher authorises the use of AI-supported systems for editorial, production, or administrative purposes, the permitted use, safeguards, and accountability arrangements must be clearly defined and communicated to the involved parties.

Individual journals may provide additional details on the use of AI on their submission pages. Authors are kindly requested to take those into consideration before submitting.
